The Catholic Diocese of Maitland-Newcastle is seeking an experienced and trusted Executive Assistant to Bishop Michael Kennedy. Reporting directly to the Bishop, the position provides high-level executive and organisational support, assisting him in both pastoral and administrative responsibilities across the Diocese.
Responsibilities include managing diaries, meetings, travel, and correspondence, coordinating parish visitations and Confirmation programs, and preparing briefing materials and documentation to ensure the Bishop is fully informed and prepared for all commitments. The Executive Assistant also supports workflow management, ongoing professional development compliance, and acts as a confidential liaison with Priests, Parish teams, diocesan leaders, government and non-government agencies, and other faith and community organisations.
The role oversees coordination of diocesan meetings and events, supports the Council of Priests, Consultors, and Trustees, and assists with personal administrative matters, including financial reconciliation. Serving as a key point of contact, the Executive Assistant fosters collaborative and respectful relationships while ensuring the smooth operation of the Bishop’s office.
The ideal candidate is a trusted and experienced executive or senior administrator with exceptional organisational skills, attention to detail, and the ability to manage competing priorities with discretion. A commitment to the mission and values of the Catholic Church, alongside demonstrated professionalism and initiative, will ensure success in this pivotal role. A Certificate IV or Diploma in Business Administration, or equivalent experience, and a minimum of five years in executive support are required.

The Executive Assistant works in close partnership with the Bishop, providing dedicated organisational support to enable the Bishop’s pastoral leadership and mission.
This role calls for a spirit of collaboration, fostering positive and respectful relationships with internal and external stakeholders in support of the Bishop’s ministry.
As a trusted member of the diocesan team, the Executive Assistant is expected to act with integrity, discretion, sound judgement, and initiative, always ensuring confidentiality.

Desired Skills and Experience
EXPERIENCE/CRITERIA
A capacity to understand, promote and model the Catholic mission of the Diocese of Maitland-Newcastle.
High level of communication and interpersonal skills, both oral and written, and an ability to build relationships with a variety of stakeholders including Priests, Parishes, Heads of Agencies and other diocesan staff.
Exceptional organisational and time-management skills, with the ability to manage multiple priorities in a dynamic environment.
Flexibility and willingness to adapt to changed timelines, deadlines and significant events.
Capacity to handle confidential information with discretion and integrity with good awareness of privacy obligations, policy and procedure.
Advanced ICT skills, with strong competency in Microsoft Office (PowerPoint, Excel, Word, Outlook), SharePoint, Content Manager, and related systems.
QUALIFICATIONS
Commitment to the life and the teaching of the church, expressed through participation in a parish or community.
Business Administration or Diploma or Certificate IV or equivalent.
Extensive experience in an Executive support role.
Current Class C Driver’s Licence.
