The Catholic Diocese of Maitland-Newcastle is seeking an experienced and highly trusted Executive Assistant to support the Director of Safeguarding and the Office of Safeguarding (OoSG) Leadership Group.
This role is based within a specialist agency responsible for the safeguarding of children and vulnerable adults across the Diocese as well as managing the redress for survivors of abuse. The work is complex and sensitive, and the role requires a grounded person with exceptional discretion, sound judgement, and professionalism.

Reporting to the Director of Safeguarding, the Executive Assistant provides high-level executive, administrative and operational support that enables the Office of Safeguarding to operate effectively and efficiently. You will manage diaries, meetings, correspondence, and travel; attend and minute leadership meetings; support governance and reporting requirements; and coordinate safeguarding-related boards, committees, and working groups. The role also undertakes key office administration functions, including financial processing, records management, and general office operations.
As a key locus for the leadership of the Office of Safeguarding, you will build strong, respectful relationships with internal and external stakeholders and contribute to promoting a culture of safeguarding, accountability, and trust across the Diocese.
This opportunity will suit an experienced executive or senior administrator who is highly organised, adaptable, and confident supporting senior leaders in a confidential environment. You will bring strong communication skills, excellent attention to detail, and the ability to manage competing priorities with calm resilience and professionalism. A Certificate IV or Diploma in Business Administration, or equivalent experience, is required. Flexibility in working hours may be required from time to time to support the needs of the Office of Safeguarding.

A capacity to understand, promote and model the mission of the Diocese of Maitland Newcastle and a familiarity with the culture, structures and contemporary ethos of Catholicism in Australia
Demonstrated commitment to working in a manner that exemplifies servant leadership in a Catholic ethos
Demonstrated ability to maintain a high level of confidentiality
Superior problem-solving, communication, conflict resolution, and stakeholder engagement skills
Demonstrated individual resilience and self-awareness operating in an environment where you will be exposed to confronting descriptions of sexual and physical assaults and other forms of abuse
Superior skills with using Microsoft Office suite and related software
Demonstrated ability to operate at a high level of accuracy and attention to detail whilst managing multiple simultaneous tasks, prioritising conflicting demands and working to hard deadlines, with a significant level of self-direction in a high-pressure work environment
QUALIFICATIONS
Diploma or Certificate IV in Business (Administration) or extensive equivalent industry related experience
A Working with Children Clearance must be obtained from the Office of the Children’s Guardian prior to commencing the role and must remain current during the entire period in the role. It is the position holder’s responsibility to renew their Clearance prior to expiry
Drivers Licence
Graduate diploma in Business or other postgraduate qualifications in a related field (Desirable).
Justice of the Peace or notary public (Desirable).
