The Executive Assistant of Technology Services will provide high-level executive support to the Director of Technology Services (CIO) and streamline administrative coordination across the Technology Services department. You will manage diaries, meetings, governance activities, documentation and presentations, while overseeing department-wide administrative functions such as travel, expenses, procurement, records management and general office operations.
The role includes leading and supporting one Administration Assistant, ensuring effective workload management, performance and development. You will act as an escalation point for stakeholders, support recruitment processes, assist with department events and engagement activities, and handle sensitive and confidential matters with professionalism. A key part of the role is reviewing and improving administrative systems and processes to enhance operational efficiency and support strategic initiatives across Technology Services.
Desired Skills and Experience
EXPERIENCE/CRITERIA
High level of competency with Microsoft Office 365 Products
Experience providing administrative support for a large and complex team
Excellent organisational skills, attention to detail and the ability to manage and prioritise multiple tasks simultaneously
Experience with Work Management or Service Desk systems, such as ServiceNow
Experience with Accounting and Financial systems, such as TechnologyOne
Excellent communication skills, both verbal and written, and ability to collaborate effectively with stakeholders across different levels of the enterprise
Ability to act as the owner & champion for internal processes, maintaining process knowledge and relevant content and documentation
QUALIFICATIONS
Tertiary qualifications in Administration; or an equivalent combination of knowledge gained through education, training and /or experience
Current Class C Driver’s Licence
Current Working With Children Check (WWCC)
Qualification or certification in Business Administration, Financial Management, Data and Analytics, Customer Service, IT Service Management, and/or Project Management, such as Prince2 or PMBOK (Desirable)
