Job Description

POSITION DESCRIPTION

The Parish Administrative Assistant role provides both clerical and administrative support to the Parish Priest(s). They are a member of the parish team and contribute to the smooth and professional running of the administrative functions of the Parish Office. The Parish Administrative Assistant is often the first point of contact and will welcome and help all visitors at the parish office. The role will be involved with the coordination and implementation of office procedures and have responsibility for specific projects and tasks such as maintenance of the Parish Database and Parish Sacramental records and managing the content of the Parish website.  

The incumbent commits to working within Work Health and Safety guidelines and Code of Conduct at all times whilst in the employ of the Catholic Diocese of Maitland-Newcastle.

Desired Skills and Experience

EXPERIENCE/CRITERIA

  • Well motivated to work for the Church and possess a strong commitment to its practices and values
  • Demonstrated ability in accurate and proficient performance of a wide range of administrative tasks
  • Excellent organisational and problem-solving skills
  • Excellent interpersonal and communication (written and oral) skills and a pastoral attitude
  • An ability to relate to a variety of people and the capacity to develop and maintain sound working relationships with other parish workers and volunteers
  • Capacity to coordinate and/or oversee various Parish events or ministries
  • Prepared to work effectively with the local Catholic school particularly and to liaise with the Government schools as necessary
  • Energetic and highly motivated with initiative and capacity to work with minimum supervision
  • The ability to keep confidentiality (and the discernment to know what must be kept confidential) is essential
  • Computer competency in Microsoft Office Applications and Parish Data Systems (willingness to learn)
  • Demonstrated experience in the use of Content Management Systems (CMS)

QUALIFICATIONS

  • Tertiary Qualifications in Office Administration or relevant experience working in an administrative capacity
  • Current Working With Children Check for paid employment
  • Current Class C Driver’s Licence
